Business context

Prior to the project, the client already had a long-standing business relationship with GSC. GSC’s team took part in delivering the client’s flagship product — a sophisticated brand reputation management platform designed for large companies and franchises.

Market research showed that the platform owed much of its success to users from the dental care industry. The client decided to use the existing platform as a basis for a new solution that would focus more closely on the needs and restrictions of dental practices and large Dental Service Organizations (DSOs).

GSC was chosen for the project as a company that had earned the client’s trust and demonstrated deep expertise in both healthcare IT and MarTech.

Delivered solution

GSC helped the client develop and implement an all-in-one software suite that enables dentists to manage, market, and grow their business online. The solution integrates with a host of popular dental PMSs (Practice Management Systems) and uses clinical records to optimize and automate the practice’s marketing strategy.

Online Patient Scheduling

The solution makes online scheduling quick and easy via a handy widget added to the practice’s own website. Patients appreciate the ability to pick a comfortable time for a visit without having to make the call, while the staff can concentrate on more important tasks.

GSC integrated the solution with major dental PMS like Carestream, Dentrix, and Eaglesoft to allow seamless synchronization of appointment requests with doctors’ schedule.

Patient Engagement

The team designed a number of features aimed at attracting and engaging patients to help dental clinics grow their business.

No-shows are a common thing in dentistry that can take a sizeable chunk out of a practice’s revenue. The delivered platform relies on data pulled from the PMS to automatically send email, SMS, or voice reminders shortly before the visit, minimizing the risk of missed appointments.

The same patient data, including CDT codes, helps the solution create and distribute marketing emails with seasonal discounts, special offers, and recommended procedures.

A HIPAA-compliant SMS chat feature enables patients to reach out to their doctors with questions whenever needed and increases patient satisfaction without compromising confidentiality.

Search Engine Optimization and Local Listings

One of the most effective ways to attract new patients is to make a dental practice more visible online. The solution’s SEO module helps dental practices find the keywords that will put their business at the top of the local search results.

The Rank Tracker tool makes it easy to keep tabs on the words and phrases people use in their searches, as well as compare your SEO performance to closest competitors.

The system also streamlines submitting and managing business information to major data aggregators and local listings like Google, Yelp, Yellow Pages, CitySearch, and more. Keeping profile information consistent is never a problem — all changes made on the dashboard are automatically enforced across all connected directories.

Online Reputation Management

Brand reputation management functionality enables users to be proactive about their online presence. The system pulls relevant reviews from across the web, reminds recent visitors to leave feedback, and helps practices manage negative reviews before they can impact their business.

ROI Tracking and Reporting

GSC’s team implemented powerful data analysis and reporting tools that help dental clinics aggregate, calculate, and visualize statistics on every aspect of their marketing strategy such as marketing campaign ROI, conversions from social media accounts, review ratings, and more.

The call analysis tool tracks all phone communications with patients to help staff increase conversions by offering optimal phrasing every time.

$1,000,000 in subscription fee savings

The solution quickly gained popularity among U.S dental clinics, giving the client a firm foothold in the lucrative healthcare IT market. However, the platform’s reliance on a third-party component for data transfer was starting to result in hefty annual subscription fees.

After consulting GSC’s business analysts, the client made the strategic decision to launch the second phase of the project and build a replacement module replicating and expanding the functionality of the third-party solution.

According to recent estimations, the now fully proprietary system will save the client up to $1,000,000 in software fees per year.

Project results and future plans

Expanding on functionality of the original marketing platform, the client’s second project with GSC emerged as an integrated solution unique to the healthcare IT market.

The company is currently in the process of transferring clients to the new, fully-owned version of the system and gathering market feedback.

In the next phase, GSC’s team will focus on enhancing the patient engagement features and introducing test automation to validate complex business logic and further improve product quality.
